Patent Administration / Deadlines
- Central deadline monitoring (recording, checking, deleting, and monitoring deadlines in the patent and trademark field; processing incoming mail from offices, clients, and foreign colleagues)
- Management of files and deadlines in industrial property rights, including data maintenance
- Support in the administration of patent applications and trademark procedures
HR / People
- Recruiting (publishing job advertisements, scheduling, communicating with applicants)
- Administration and preparation of employment contracts, references, etc.
- Management and monitoring of vacation and absences
- Contact person for employees on HR issues and interface to external payroll accounting
- Planning and execution of company celebrations, events, and team events
- Planning and organizing gifts for employees (birthdays and major holidays)
- Involvement in human resources management: Implementation of internal onboarding and offboarding processes
Office management and organization
- Organization and coordination of internal processes (appointment management, orders, filing, communication with service providers)
- Interface between partners, team, and external contacts
- Appointment and travel coordination as needed
- Reception duties (answering general phone calls, welcoming international clients and guests)
- Coordination and organization of property management activities with property managers and landlords
BD / Marketing
- Support with marketing and BD matters (management of the firm's LinkedIn page, event organization, newsletters)
- Administration and maintenance of the website (in collaboration with web designers)
- Support with participation in legal directory programs (IP Stars, Legal 500)
- Creating law firm presentations (digital and print) and organizational preparations for in-house events
- Management, development, and organization of law firm merchandise
You offer SKM-IP:
• Completed training as a patent attorney assistant or comparable qualification with professional experience (office manager/team assistant in professional services)
- Very good knowledge of German and English
- Independent and precise way of working
